By proceeding, you understand and accept the following conditions, including any updates, so that you have a full understanding of your rights and responsibilities. Voyages Polaris reserves the right of final interpretation.
Payment Method Travel fees must be paid in full at the time of booking. No deposit is required. Payments will be deposited into a trust account governed by Quebec consumer protection laws. Quebec travel agency permit number: 703480.
Minimum Group Size: For any group marked as guaranteed departure, a minimum of two persons is guaranteed. For any group not indicating a guaranteed departure, the minimum group size is 20 persons. Voyages Polaris reserves the right to cancel the trip due to insufficient numbers and will notify the client accordingly. Upon receiving notice, the client may choose to: transfer free of charge to the next departure date of the same itinerary, transfer to another destination group, or request a full refund — only when it is confirmed that the new group has sufficient available space.

Cancellation Conditions
If Voyages Polaris cancels the trip, all payments made will be immediately refunded in full.
If the consumer cancels the trip, the following policies apply:
Travel insurance premiums are non-refundable.
Travel Insurance Voyages Polaris strongly recommends purchasing travel insurance.
We are representatives of Manulife and Blue Cross insurance companies. Please consult us to purchase the insurance products we represent.
Pricing
Included in group fees may be: luxury coach, tour guide, hotel accommodation, hotel breakfast, all taxes, FICAV compensation fund (as per official itinerary notes), tourist attraction tickets (as per official itinerary notes), meals (as per official itinerary notes), and round-trip airfare (as per official itinerary notes).
Not included in travel fees: personal travel insurance, personal expenses, driver and tour guide gratuities, and other items (as per official itinerary notes).
All attraction tickets or city passes (e.g., City Pass) purchased elsewhere do not apply to Voyages Polaris tour groups.
If your trip involves airfare, transportation, hotels, or other additional bookings, it is your responsibility to contact us before purchasing or reserving to confirm that the group departure is confirmed and that timings are consistent, in order to avoid losses. Voyages Polaris will not be responsible for any airfare, hotels, transportation, or other additional purchases made before the group trip is confirmed.
Required Travel Documents The client must prepare all necessary travel documents in advance and is solely responsible for them. Voyages Polaris will not be responsible for any additional transportation and accommodation costs caused by missing documents during travel. If the client loses their documents for personal reasons during the trip, Voyages Polaris will not be held responsible.
Our company assists with visa applications for certain countries; however, since visas are closely tied to each passenger's personal circumstances, Voyages Polaris cannot guarantee approval. If the client books the trip before obtaining a visa, the refund conditions are the same as for other passengers. Clients will not be refunded due to visa refusal, and the client bears all losses caused by visa denial.

Children Under 2 Years of Age Children under 2 years of age cannot participate in trips involving flights. Children aged 2 and above but under 12 must pay the regular fare at the time of booking, as well as gratuities, attraction tickets, and other travel fees.

All modification requests are subject to the policy stated above. A modification request may only be accepted once; if the client requests another modification, the new request will not be accepted.

Delay or Absence on Departure Day
Force Majeure Under the laws and principles adopted by Canada and the United States, force majeure may include, but is not limited to, events that are unforeseeable, irresistible, and beyond control — circumstances that cannot be managed or anticipated — such as:
Errors or Omissions Voyages Polaris will strive to ensure the completeness and accuracy of all brochures and website information; however, we cannot guarantee the absence of errors, inaccuracies, or omissions in product pricing, product descriptions, or product availability on brochures or the website. Voyages Polaris reserves the right to correct any errors, inaccuracies, or omissions and to modify and update content without prior notice.
Additionally, Voyages Polaris reserves the right to refuse or cancel orders or reservations containing errors, inaccuracies, or omissions, regardless of whether the order has been confirmed and/or whether your credit card has been charged.
If fees have already been paid by the participant and the order is cancelled due to incorrect or inaccurate information, Voyages Polaris will refund the fees to the participant.
It is the consumer's responsibility and expense to obtain all travel and identification documents required by all relevant government authorities. The consumer is responsible for ensuring they have all required travel documents for North America, Europe, or any other third-country destination, as well as return documents to their country of origin. Voyages Polaris is not responsible for any damages caused by visa or travel document refusals (denial of entry due to a criminal record or other issues) or any customs issues in the destination country or associated countries.
For international travel, a valid passport (valid for 6 months after the return date) and a valid visa are required. Voyages Polaris is not responsible for customs delays and does not accept responsibility for customs delays or entry refusals due to personal errors made by travelers themselves. In such cases, travelers will be required to leave the border and bear their own return costs.
