TERMS AND CONDITION FOR BUS TOUR 

Voyages Polaris invite you to read and understand the Terms and Conditions below before you purchase our traveling products. Our customer service representative will be pleased to answer your questions. Your reservation with Voyages Polaris confirms that you have read, understood and agreed to all terms and conditions.

Voyages Polaris will reserve the rights of final interpretation to all the published information, terms and policies.

 

Minimum people for a departure in a group :20p. Voyages polaris reserves the right to cancel the tour if the minimum requirement is not met. After receiving the notice,the traveler has the right to choose to transfer to the next departure day of the same itinerary,  or transfer to the other itinerary (same price and has enough seats ,otherwise needs to pay the difference), or get full payment refunded.

 

Tour Fee

  1.   Tour Fees Includes: Tour guide, Transportation by Coach, Hotel (if applicable), Breakfast in hotel (if applicable), Taxes
    2. Tour Fees Excludes: Service charge for the bus driver and guide, Entrance fees for visits, meals, insurance and personal spending, Flight Tickets (if applicable)
    3. Admission tickets bought through sellers other than Voyages Polaris (e.g. City Pass) are not applicable to Voyages Polaris.
    4. For tours in which will require additional purchases of air ticket, transportation, hotel or any additional reservation needs to meet the confirmed tour; it is the responsibility of the participant to contact Voyages Polaris to ensure the guarantee of the tour departure status prior to issuing any additional reservation needs to meet confirmed tour.

 

For infants under the age of 2 traveling with Voyages Polaris :

  1. Within Canada traveling: Infant will not occupy a seat on the bus and must be handheld throughout the duration of the tour will not need to pay for the tour fee and service charge for the bus driver and the tour guide; if infant occupys seat on the bus, he(she) will be asked to pay for the tour fee and service charge for the bus driver and the tour guide.
  2. Outside Canada traveling: Infant will also has to occupy a seat on the bus and the full tour fee, service charge, and attraction fees will also be charged accordingly.

 

Valid document

 1,For participants who travel with children, other documents may also be necessary. It is the participant’s responsibility to ensure that they have the documents in hand prior to departure. Participant failing to provide the required documents may be denied boarding privileges by the relevant authorities. Under such circumstances, participants have no right of recourse or refund.
2. No refund or replacement will be given for lost or stolen travel documents

3,Before booking a US travel package, please kindly refer to the requirements of the US Customs and Border Protection (https://www.cbp.gov/travel/international-visitors) for travel documents.

Important reminders:

1). Please pay attention to the validity of your passport (https://usaestaonline.com/en/passport-validity-travel-to-usa);

2). Chinese citizens shall pay attention to EVUS (https://www.cbp.gov/travel/international-visitors/electronic-visa-update-system-evus/frequently-asked-questions);

3). Non-Chinese citizens shall pay attention to ESTA (https://www.cbp.gov/travel/international-visitors/esta).

We invite you to get direct contact with the US Customs and Border Protection and/or other relevant authorities when you have doubt about whether you can travel to the US.

 

Deposit & Balance Payment
1. Full payments required at booking for tours that is 6 Days or less.
2. The deposit is $200 per person for trips 7 days or more (walk in clients only). The deposit is non-refundable, non-changeable and non-transferable under any circumstance.
3.  All Balances must be paid 30 days or more prior to departure date for trips 7 days or more without air ticket; 60 days or more prior to departure date for trips with air ticket included.

4,If the balance is not completed before deadline, Voyages polaris reserves the right to cancel the reservation and retain the full amount of the initial deposit.

 

CANCELLATION & MODIFICATION

Once the order is confirmed, any changes regarding a confirmed order, such as modification of dates or destinations, or cancellation, will be charged accordingly by the modification and cancellation policy. Any changes of the personal information cannot be accepted within 24 hours of departure. Any cancellation of confirmed orders by the traveler will be charged accordingly by the modification and cancellation policy. The assessed fees will be used to cover the penalties charged by traveling agencies and hotel suppliers to Vacances Polaris. The amount of the penalties is related to the time when we receive the cancellation notice. All cancellation notices or modification of orders must be made in writing via email or webpage email to Vacances Polaris directly.

 

VOLUNTARY CANCELLATION PENALTY

1. Trips from one day to 7 days:

a) 31 days or more prior to departure date: 5% of total price will be applied as administrative fees. The remains will be refunded;

b) From 15 to 30 days prior to departure date: 20% of total price will be applied as administrative fees. The remains will be refunded;

c)From 8 to 14 days prior to departure date: 50% of total price will be applied as administrative fees. The remains will be refunded;

d) 7 days or less prior to departure date: impossible to modify the itinerary or receive reimbursement;

e)  Should the traveler fail to show up on time on the departure date regardless of any reasons, the entire travel package is non-refundable, non-changeable, non-transferable.

2.  Trips for 8 days or more (package without air ticket):

a) 46 days or more prior to departure date: 20% of total price will be applied as administrative fees. The remains will be refunded;

b) From 31 to 45 days prior to departure date: 50% of total price will be applied as administrative fees. The remains will be refunded;

c) 30 days or less prior to departure date: impossible to modify the itinerary or receive reimbursement;

d) Should the traveler fail to show up on time on the departure date regardless of any reasons, the entire travel package is non-refundable, non-changeable, non-transferable.

3. Trips for 8 days or more (package with air ticket included):

a) 60 days or more prior to departure date: impossible to modify the itinerary or receive reimbursement .

b) For any travel package with air ticket included, if the traveler needs to make changes more than 60 days before departure, the traveler need to pay the difference based on the current ticket issuance and reservations.

 

All change requests must comply with the above policy regulations. Change request can only be accepted once. If the traveler makes another change, the new request will not be accepted.

 

Any cancellation made by Voyages polaris and after receiving the notice,the traveler has the right to choose to transfer to the next departure day of the same itinerary,  or transfer to the other itinerary (same price and has enough seats ,otherwise needs to pay the difference), or get full payment refunded.

 

THE ABOVE CANCELLATION AND MODIFICATION POLICIES DO NOT APPLY TO SPECIAL SALES AND FINAL SALES and trips which require payment in advance for entrance fees (including, but not limited to, sales on partners’ web site such as Groupon, nCrowdnCrowd, Buytopia, Livingsocial, Wagjag, Travelzoo and Kumapon)

 SPECIAL SALES AND FINAL SALES and trips which require payment in advance for entrance fees (including, but not limited to, sales on partners’ web site such as Groupon, nCrowdnCrowd, Buytopia, Livingsocial, Wagjag, Travelzoo and Kumapon) are by nature:

a) Promotion sales, special sales and final sales require full payment at the time of booking;

b) Once booked, it is impossible to change the itinerary and the departure date, or get refund if the customer cancels the trip;

c) Changing the number of traveler(s) requested by customers:

 Increasing numbers of traveler(s): complete the additional cost provided that it is still available.

 Decreasing numbers of traveler(s): no refund.

 

HOTEL

1. Each room contains one or two double beds in all hotels in North America

2.  Each room allows only 4 people in maximum in North America (children counted). It is not allowed to add an extra bed. An additional amount must be paid according to the hotel policy if travelers insist on making such an addition.

 

 SEATS ON BUS
The seats on bus are generally arranged according to the order of the clients’ reservation. If the participant has special requirement, he or she can pay fees in order to choose the seats on bus in advance (applicable only for bus tours in North American, payment should be settled 3 days before departure. Please contact us for more information). The prices for the first three rows are:
a) 1 day’ tour: $10 per person;
b) 2 days’ tour, $20 per person;
c) 3-4 days’ tour, $30 per person;
d) 5-6 days’ tour: $50 per person;

e) 7-8 days’ tour: $60 per person;
f) 9-10 days’ tour: $80 per person;

g) 11 days’ tour or above: $150 per person;

 

IN CASE OF DELAY OR ABSENCE ON THE DAY OF DEPARTURE

1.  If travelers arrive late or are absent on the day of departure for any reason, their entire travel package is not refundable, not changeable, not transferable.

2.  If travelers fail to comply with the indication of the guide to gather at a meeting point in time during the trip, they shall be responsible for all and/or any additional costs and incurred damage.

3. Vacances Polaris disclaims all and/or any responsibility for the consequences caused by travelers if they withdraw themselves from the group during the trip.

4.  If travelers fail show up at the agreed place and/or time during the trip, they shall be responsible for all and/or any additional costs and the missed itinerary cannot be recoursed or refunded.

5. All seats on the bus are arranged by the tour guide of Vacances Polaris, if travelers do not show up, Vacances Polaris and the tour guide shall have the right to occupy their seats for other uses.

 

ERRORS OR OMISSIONS
Voyages Polaris uses reasonable efforts to ensure that the Content on our Web Site is complete and current. However,  Voyages Polaris does not guarantee that the Content on our Web Site will not contain errors, inaccuracies or omissions. Such errors, inaccuracies or omissions may relate to price or to product or service description or availability. Voyages Polaris reserves the right to correct any error, inaccuracy or omission or to change or update the Content without prior notice to the participant. Further, Voyages Polaris  reserves the right to refuse or cancel any orders or reservations containing any error, inaccuracy or omission, whether or not the order or reservation has been submitted, confirmed and/or your credit card has been charged. If the participant’s credit card has been charged for the purchase and the order or reservation is cancelled due to an error, inaccuracy or omission, Voyages Polaris  shall promptly issue a credit to the participant’s credit card for the amount of such charge.

 

IN CASE OF DELAY OR ABSENCE ON THE DAY OF DEPARTURE

5. All seats on the bus are arranged by the tour guide of Voyages Polaris, if a participant does not show up, Voyages Polaris and the tour guide have the right to reuse the seats. 

 

FORCE MAJEURE

According to the laws and the principles adopted in Canada and the US, the force majeure may include but not limited to what happened during the journey: the unpredictable, irresistible, uncontrollable, and unable to cope with the unexpected events and circumstances occurring or will occur as follows:

1. Natural disasters such as typhoons, hail, storms, earthquakes, tsunamis, floods, volcanic eruptions, landslides;

2. Government actions such as expropriation, requisition;

3.  Abnormal social events, such as wars, armed conflicts, strikes, riots and terrorist attacks.

 

DISCLAIMER

1. Vacances Polaris does not accept any responsibility or liability for all and/or any loss resulting from force majeure or a trip without insurance.

WE STRONGLY SUGGEST OUR TRAVELERS TO PURCHASE PERSONAL TRAVEL INSURANCE.

Vacances Polaris reserves all rights, while respecting the program, to cancel or change the order of visits without notice depending on the customs formalities, weather and traffic, time changing or the closing day of trip sites, etc. The tickets prices and meals can be changed according to the season without notice.

2.  It is travelers’ full responsibility and at their costs to obtain all documents required by relevant authorities. It is their responsibility to ensure the possession of all and/or any travel documents required by North America, Europe and any other third countries to their destination as well as to return to their country of origin. Vacances Polaris accepts no responsibility for any losses caused by the refusal of visa or travel documents for countries of destination or connection (as a result of criminal records or other issues), or any customs problems.

3  For international trips, valid passport (valid for 6 months after the return date) and valid visas are required. Vacances Polaris accepts no liability for customs delay. Vacances Polaris does not endorse any considerable delays at customs because of personal mistakes made by travelers themselves. Travelers will be obliged to leave the group from the border and assume their own return expenses.
